Booking Terms and Conditions

The following are the “Terms and Conditions” which govern the delivery of the services provided by Principle Players LLC (hereafter known as the musicians) for ceremonies, receptions, banquets and other functions. The musicians are engaged on the terms and conditions hereof, and the purchaser(s) (hereafter known as the client) agrees to be bound by the terms and conditions set below.

1. Weddings Ceremonies

A "ceremony only" booking requires a minimum booking time of one hour (on average, ceremonies last 1 to 1.5 hours).

2. Additional Amplification

The musicians do not supply amplification nor any other type of electronic equipment. If additional amplification is desired, the client must consult and arrange with his/her wedding venue for amplification options. Furthermore, the client (not the musicians) is solely responsible for costs incurred for amplification arrangements.

3. Playing Space & Seating Required

The client must provide the require space (3m x 2m or 9'10" X 6'7") and armless chairs for a string quartet or string trio. Armless chairs will be arranged in a semicircle configuration.

4. Refreshments

The client is required to supply light refreshments (i.e. sandwiches and coffee) for musicians for bookings of 4 hours or more.

5. Additional Sheet Music

Upon request from the client, the musicians may be able to acquire additional pieces of music (not available on the musicians' current repertoire). This service incurs an arrangement fee for the client. Please contact us for prices.

6. Accompanying Singer Or Instrumentalist

The musicians may be able to accommodate a client appointed singer or instrumentalist to partake in any part of the performance. However, additional fees and conditions may apply depending on the requirements. Please contact us for more information.

7. Venue Requirements

The client must ensure the venues offer adequate lighting, level ground, suitable playing area, protection from inclement weather and armless chairs for the musicians to perform. These requirements must be met prior to the musicians arrival at the venue(s).

8. Vehicle Breakdown, Traffic And Illness

If the musicians cancel the event for any reason (i.e. vehicle breakdown, traffic or illness), the client will receive a full refund of the paid amount. Furthermore, the client agrees that the full refund of the paid amount is the limit of any financial liability that the musicians will incur.

9. Incomplete Quartet/Ensemble

If for any reason not all the musicians or equipment arrives at the client's venue, the musicians may offer to perform with a reduced ensemble. If the client agrees to a reduced ensemble, the compensation due to the client will be limited to the fee(s) of the musician(s) not present, or the musician(s) fee(s) that are unable to perform due to lack of equipment. This fee will only be payable to the client if the client has already paid for the musicians fees. If the client has not yet paid the musicians fees, the musicians will simply reduce the client's fees to reflect the correct price for the services/ensemble provided. The client agrees that the musicians will not be liable for any additional financial obligation.

10. Outside Performance

If requested by the client, the musicians will be delighted to perform outside. The musicians are a  professional quartet/ensemble that performs using expensive instruments valued in excess of $50,000 or more. The Client is responsible to provide adequate cover in order to protect instruments, sheet music, stands and the musicians from inclement weather.  Ultimately, the final decision whether to perform outside will be made by the musicians at the time of performance. The client agrees that the musicians' decision will be final.

11. Balance Payment, Payment On The Day Of Performance

The client will make payments in either cash funds prior to performance on the day of performance, or by PayPal at a minimum of two weeks prior to the event. The musicians' preference is payment by PayPal two weeks prior to the event. Please note, if the client choses to pay on the day of performance, payment must be made in cash. The musicians will not accept checks, PayPal or card payments of any type at the place of performance. The musicians will not perform if the balance is not paid in full as stated above. If the client fails to pay the balance of his/her booking, the client will assume liability for the full balance payment and any costs incurred by the musicians to recover their fees.

12. Delayed Start - Not Due To Quartet/Ensemble

If the musicians' quartet/ensemble arrive on time and are ready to perform at the agreed start time but aren't able to do so due to delays caused by the client, the client’s guests, the client’s service providers or any other reasons (not the musicians' fault), the original start time which was agreed upon prior to arrival will remain the official start time. This does not necessarily mean that the musicians are performing music, but the total hired time clock has started ticking at the originally agreed time. The musicians, as per the original booking agreement, will not carry on beyond the agreed finish time.

The client may extend their booking time to cover time loss due to a delay, but this will incur additional fees. Section 15 (changes to total time hired) covers information on time extensions for bookings.

13. Late Arrival At First Or Second Venues

If the musicians arrive later than the original agreed start time, the musicians will endeavour to perform beyond the originally agreed finish time until the original booking duration is fulfilled to compensate for late arrival. On occasion, due to previously arranged commitments, the musicians will not able to stay beyond the originally booking finish time. The client must also take into consideration the musicians' traveling time between venues (for bookings with multiple venues) and the factors beyond the musicians' control that may affect that travel time (i.e. accidents, traffic, etc). The musicians will take all reasonable measures to get to the venue on time. However, under no circumstances will the musicians compensate the client for a delayed start of a performance at any additional venue beyond the first.

14. Hired Time, Required Breaks

For all our performances, the booking time duration and fees quoted on the client's booking confirmation email is for the total time hired. This is not the total playing time. The musicians will take a 10 minute break per hour for functions lasting 2 hours or more. The musicians may also coordinate breaks in accordance with the client's function's itinerary. In a wedding ceremony, breaks for the musicians are already built in to the service. The musicians will stay in position throughout the ceremony. The client needs to refer to section 15 (changes to total time hired) should he/she wish to extend or reduce the total time hired at a later point beyond what was agreed in the original booking.

15. Changes To Total Time Hired (Extension or Reduction)

A time extension to the original booking means the client is increasing the total time hired. This is not necessarily actual performance time. This includes (but is not limited to) any additional hired time requested by the client for practice, sound checks, run through, delayed start, etc. Time extensions will incur additional fees. Fees will be quoted to the client upon request.

Please note that extra hired time that is requested on the day of performance is charged at a minimum rate of half an hour (no less). The musicians reserve the right to increase the time extension fees at any time.

A request for a reduction in total hired time may be subject to a reduction in fees. If there is a reduction in fees applicable (which is not always the case) the fee reduction will be quoted to the client at the time of request. If it is not possible to alter the original booking hired time, both parties the client and the musicians, agree to abide by the original booking agreement; or, the client's booking is cancelled and the deposit and payments already collected will not be refunded. Please also read section 19 for important notes regarding changes to total time hired.

16. Changes To Quartet/Ensemble Size

Changes of quartet/ensemble size may incur additional fees. Fees will be quoted to the client upon request. If it is not possible to alter what was originally booked, both parties the client and the Musicians, agree to abide by what was originally booked; or, the client's booking is cancelled and the deposit and payments already collected will not be refunded. Please also read section 19 for important notes regarding changes to quartet/ensemble size.

17. Changes To Venue(s)

Changes to the originally agreed venue(s) may incur additional fees. Fees will be quoted to the client upon request. If it is not possible to alter what was originally booked, both parties the client and the musicians, agree to abide by what was originally booked; or, the Client's booking is cancelled and the deposit and payments already collected will not be refunded. Please also read section 19 for important notes regarding changes to performance venue.

18. Changes To Performance Date

Changes to the originally agreed performance date will be looked at upon request. If the musicians are able to accommodate the new date, as long as there is no duration or other changes, the musicians will move the booking to the new date at no additional cost to the client. If the musicians cannot move the client's booking from the originally agreed date to the new requested date due to commitments of any kind, the client's booking will have to be cancelled. The deposit and any payment collected will not be refunded to the client. In addition, if there is also a requested performance venue change, the venue change rules as explained in section 17 will also apply. Please also read section 19 for important notes regarding changes to performance date.

19. Important Notes On Changes In Sections 15, 16, 17 & 18

It may not be possible to change the total time hired, the quartet/ensemble size, the venue, or the performance date. Although the musicians will endeavour to accommodate any request for alteration to what was originally booked, sometimes the musicians will have little to no flexibility due to other commitments. If it is not possible to alter what was originally booked, both parties the client and the musicians, agree to abide by what was originally booked; or, the Client's booking is cancelled and the deposit and payments already collected will not be refunded.

20. Deposits Paid & Cancellation Of Booking By The Client

The deposit the client pays to secure his/her booking is non-refundable. If the client cancels his/her booking at any time, for any reason, the deposit will not be refunded. If the client cancels the booking within 1 month prior of the performance date, the client will also be liable to compensate the musicians at the rate listed in the booking confirmation (the full balance remaining payable).

21. Additional Rehearsals And Meet Ups

The musicians do not normally attend any additional rehearsal or meet ups prior to performance at weddings or events. Having played at hundreds of weddings and events, this is not normally necessary. Our experience and flexibility mean that we will be in step with what is happening during a client's wedding or event. For wedding ceremonies, we are skilled in timing the processional music to the right length. A member of the quartet/ensemble will discuss preferences and details regarding the performance with the client by phone or email in the weeks leading up to the wedding or event. On the day for a wedding ceremony for example, the musicians will liaise with the Registrar or Vicar for cues.

If you absolutely require attendance and/or advice at a rehearsal or meet up, The musicians will quote the client an additional fee (minimum fee of $200 for up to 2 hours) plus travel costs for a consultation at an agreed place of meeting. This is dependent upon the availability of one of our players, or representatives, to attend on the requested day. It will be one person only and not the full quartet/ensemble. This meeting is to give advice and discuss the performance only, and will not consist of any performance. If due to unforeseen circumstances on the day of meet up we arrive late or have to cancel the meet up for any other reason, the musicians financial liability is limited only to a refund of any fees already paid to us by the client for the meet up.

22. Quartet/Ensemble Definition & Responsibilities

The client understands they are directly responsible for hiring and paying the musicians performing on the day of his/her event. The musicians are the principle service provider of the music services the client hired. The “balance payable” on the client's booking confirmation are the musicians fees and are directly payable to them. The musicians have come together for your event in line with the terms and conditions laid out here. The “deposit” on the booking confirmation is payable to Principle Players LLC in order to arrange the booking and ensure the music selection advertised on the website is available to the client for his/her event. All photographs and videos of our musicians are for example purposes only. The actual musicians who perform at your event may differ from those shown in our advertisements, videos and website.
